Wedding Packages

Gold Package

This package is best suited for couples who have taken an active role in planning their own weddings. The few weeks to a month before your wedding are the most stressful, especially if you are trying to figure out who will take care of all the logistics on your wedding day. The “Day of” package will provide you with peace of mind so you can enjoy your wedding. Our experts will assist with the day’s activities and oversee all your vendors, timeline, and wedding party.

 

This package includes but is not limited to:

  • Creating all itineraries
  • Unlimited phone and email communication
  • Up to 10 hours of meetings to discuss your plan, list all your vendors, meet with the caterer and decorator, and meet with all parties 48 hours before the event
  • On the day of the event, we will be there from start to finish, up to 8-12 hours
  • Ensuring all your vendors show up on time and are ready on time on the wedding day
  • Distributing event itineraries to all wedding professionals
  • Cueing entrances and exits
  • Overseeing setup of ceremony and reception locations
  • Scheduling and coordinating with vendors on arrival times, setup details, event logistics, and timeline specifics
  • Handling any crises that may occur
  • Working with all wedding vendors and managing the execution of contracts

This package provides you with our preferred vendor list and a detailed timeline that anticipates issues and accounts for all the details before, during, and after your big day. Our experts will keep track of everything while you enjoy your special day!

  • The Special Project Manager will create automated text messages sent to guests, family, and wedding parties.
  • Manage the pickup, transportation, and oversight of personal items during the events.
  • Review and negotiate contracts in the client’s best interests. Clients will sign all contracts and handle required payments.
  • Ensure smooth event flow and adhere to predetermined timelines.
  • Send out all itineraries and diagrams the Monday before the first event.
  • Coordinate delivery, setup, and breakdown of services by wedding professionals.
  • Distribute event day itineraries to all necessary parties.
  • Collaborate with the venue to ensure effective event
    execution.
  • Ensure decorations are arranged correctly (final inspection).
  • Cue entrances and exits for the reception hall and ceremony, including those for parents and the couple.
  • Oversee cake cutting and boxing of the top layer.
  • Review the program with the MC before the event doors open.
  • Arrange guest book, gift box, and place cards, etc.
  • Handle any crises that may occur during the event.
  • Collaborate with all wedding professionals and manage contract execution.
  • Set up, attend, and lead pre-con meetings with the venue and necessary professionals.
  • Assist photographer(s) by creating a photo list – photographers will capture requested shots.
  • Conduct a debrief call with the client or parents’ post-event to review any issues.

This package fits best for couples who understand the overwhelming, stressful details involved in budgeting, designing, and planning a wedding. Best Suited for those couples who would prefer to trust the expertise of an experienced wedding. Provide us with your dream wedding and let us take the front seat. Some of the services we would be providing include but are not limited to:   

  • Complimentary initial consultation, in which we will discuss your dream wedding, style, and vision.   
  • Unlimited phone, email, and Zoom meetings.   
  • Design an itinerary for the event. 
  • Vendor recommendations  
  • All proposals are individually customized based on your needs such as catering, and your budget to provide a tailored plan. 
  • Up to 40 hours of pre-event meetings to include at the client’s judgment; site visits, meeting with the caterer, and decorator meetings. 
  • The special project manager will create text messages to be sent out to guest lists, family members, and weddings depending on lists provided by the client.  
  • The Special Project Manager will create a website and RSVP tracking system. 
  • Vendor communication   
  • Day of coordination limited up to 35 hours multiple days. 
  • Pick up your personal items, transport and manage these items during the events.  
  • Review and negotiate contracts on behalf of the client’s best interest. The client will be responsible for signing all contracts and payments required. 
  • Bridal and Groom Concierge assigned to the couple and their families on the wedding morning.   
  • Design a concept for all events, including floor plans, itineraries, décor ideas, food service, and program entertainment.   
  • Facilitate the overall flow of the events.  
  • Send out all itineraries and diagrams the Monday prior to the start of the first event. 
  • Pre-meeting with all wedding vendors one week prior to the event   
  • Coordinate delivery, setup, and breakdown   
  • Set up the guest book, gift box, place cards, and couple pic if needed.  
  • Cue entrance and exit.    
  • Responsible for issuing payments on event day to vendors.  
  • Assist in venue floor plan and layout.   
  • Work with and review the program with MC prior to doors opening for the event. 
  • Scheduling and coordination with vendors on arrival times, set-up details, event logistics, and all timeline specifics  
  • Greet guests at the reception and offer any necessary directions or instructions.   
  • Assist photographer(s) by creating a photo list – it is the responsibility of the photographer to capture your requests. 
  • Review of BEO (Banquet Event Orders)   

Staffing and Meetings

  • Unlimited phone and email communication
  • Scheduled video chat meetings
  • One in-person meeting with unlimited hours up to three days with the Coordinator**, including, at the client’s discretion, site visits, meetings with the caterer, decorator meetings, and meetings with all parties responsible for the event
  • Up to 10 hours of research for requested items or services
  • Day-of-event coordination with unlimited hours for all contracted events
  • Assigned Coordinator plus one assistant for three events (assistant will stay in the same hotel room)

Travel for Events

  • The Coordinator will arrive one day prior to the start of the first event for a production meeting with vendors and venue service.

Event Management

  • Design a concept for the event and an itinerary
  • Facilitate the overall flow of the events
  • Create floor plans for events
  • Oversee event setup
  • Create and adhere to a pre-determined timeline for events
  • Final confirmation with all wedding professionals the week of the wedding
  • Coordinate wedding professionals’ delivery, setup, and breakdown schedules
  • Distribute event day itineraries to all necessary persons
  • Work with the facility to ensure events are effectively executed
  • Ensure decorations are in place per contracts (final look-over)
  • Cue entrances and exits for parents, couples, etc., into the reception hall and ceremony
  • Ensure the gift box is removed from the foyer to a secure location
  • Oversee cake cutting and boxing the top layer of the cake
  • Set out the guest book, gift box, place cards, etc.
  • Handle all crises in the event they occur
  • Responsible for issuing payments on event day, if necessary
  • Provide updates to the bride and groom as necessary
  • Schedule meetings with the client or their designated persons
  • Refer and assist with vendor selections
  • Pass along exclusive designer discounts from wedding professionals
  • Work with all wedding professionals and manage the execution of contracts
  • Share budget and checklist forms

Travel and Accommodation

  • Travel and accommodation must be provided by the client.

Pre-event meetings are classified as any in-person meetings, phone conversations lasting more than fifteen minutes, and scheduled meetings with wedding professionals on behalf of the client.
